Please read these Terms carefully before using this Website. By accessing, browsing, or using this Website, you acknowledge that you have read, understood, and agree to be bound by these Terms of Use. If you do not accept these Terms of Use, do not use the Website.

This Privacy Policy explains what personal information CoachDirectory.org (the “Site”) collects, how we use it, who we share it with and the choices you have. The Site is owned and operated by Otis Enterprises LLC, an Oregon limited liability company (“we,” “us” or “our”). We’re responsible for the personal information described here, which in EU and UK data protection law makes us the “controller.”
This policy applies to visitors to the Site and to coaches with a listing (“Members”). It works alongside our Terms and Conditions.
The Site is no longer accepting new members, and we stopped billing existing memberships on [date billing ended]. Because of that, we now collect much less information than we used to, and this policy describes what we hold today, including records from before billing ended.
What we collect and why
We collect the information below, either because you give it to us or because your browser sends it when you visit. The last column is the legal basis we rely on under EU and UK law.
What we collect | Whose | What we use it for | Legal basis |
|---|---|---|---|
Account details, such as your name, email address, password (stored in encrypted form) and login records | Members | Running your account and contacting you about your listing, these terms and the Site | Contract |
Listing content, such as your photo, bio, location, specialties, the credentials you list, your website and social links, and any contact details you choose to show | Members | Showing your public listing in the directory | Contract |
Billing records, such as subscription dates, amounts paid and the last four digits of your card. Full card numbers are handled by Stripe and never stored by us | Members who paid for a membership | Keeping accounting and tax records, and handling refunds and disputes | Legal obligation and legitimate interests |
Messages you send through a form on the Site or by email. | Visitors and Members | Answering you [and passing your inquiry to the coach you chose] | Legitimate interests |
Usage data, such as your IP address, browser, device, pages viewed, the site that referred you and cookie identifiers | Visitors and Members | Keeping the Site working and secure, and understanding how it’s used | Legitimate interests, or consent where the law requires it for non-essential cookies |
We don’t sell personal information, we don’t share it for targeted advertising, and we don’t make automated decisions about you that have legal or similarly significant effects. We don’t ask for health information or other sensitive categories of data, so please don’t include them in your listing or messages.
Listings and sharing
Your listing is public. Anything in your listing can be seen by anyone who visits the Site, and search engines and other websites may copy or index it. We can’t control copies made outside the Site, even after your listing is removed.
Listings you didn’t create. Some listings were set up by the Site’s previous owner. If you find a listing about you that you didn’t create or no longer want, email us at su*****@************ry.org and we’ll remove it.
Who we share information with. We share personal information only in the situations below.
- Service providers that run the Site for us, including Hostinger for web hosting, Stripe for payments, and Google. They may use it only to provide their services to us.
- Coaches you contact. If you send an inquiry to a coach through the Site, we pass your message and contact details to that coach, who handles them under their own privacy practices.
- A new owner of the Site. If the Site is sold or transferred, Member and visitor information moves to the new owner as part of the sale. The new owner must use it in line with this policy unless you’re told otherwise and given a chance to object or delete your data.
- Professional advisers, such as our lawyers and accountants, when they need it to advise us.
- Authorities and others when the law requires it, or when we need to protect our rights, our users or the public, or to respond to a legal claim.
If the Site closes. If the Site closes without being sold, we’ll take down all listings and delete or anonymize personal information within [90] days of closing, except records we must keep for legal, tax or accounting reasons.
Cookies, storage and security
Cookies. The Site uses cookies that it needs to work, such as the ones that keep you logged in. Where the law requires consent for non-essential cookies, we ask before setting them, and you can change your choice at any time through the cookie banner or settings link. You can also block or delete cookies in your browser, though parts of the Site may stop working.
How long we keep information. We keep personal information only as long as we need it, as set out below.
Information | How long we keep it |
|---|---|
Account details and listing content | While your listing is live, then deleted within 30-days after it’s removed |
Billing records | 7 years after the payment, for tax and accounting, including records in our Stripe account |
Messages to us | 2 years after our last exchange |
Usage and analytics data | Up to 14 months |
Backups | Overwritten on a rolling 30-day cycle |
Where your information is stored. We’re based in the United States, and our service providers store information in the US and possibly other countries. If you’re in the EU, the UK or Switzerland, we rely on safeguards the law recognizes for these transfers, such as the European Commission’s Standard Contractual Clauses or a provider’s certification under the EU-U.S. Data Privacy Framework.
Security. We use reasonable technical and organizational measures to protect personal information, including encrypted connections and restricted access to our systems. No website is completely secure, so we can’t guarantee that information will never be accessed without permission. If a breach affects your personal information, we’ll tell you and the relevant authorities where the law requires it.
Your rights and choices
For everyone. Wherever you live, you can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it and remove your listing. Email su*****@************ry.org and we’ll respond within 30 days. We may need to confirm your identity first, and we may keep some records the law requires us to hold. You can stop non-essential emails from us at any time using the unsubscribe link or by replying to ask.
If you’re in the EU or the UK. You also have the right to restrict or object to how we use your information, to receive a copy of it in a portable format, and to withdraw consent where we rely on it. You can complain to your local data protection authority, which in the UK is the Information Commissioner’s Office. We’d appreciate the chance to fix the problem first, so please contact us before you do.
If you’re in California. We don’t sell or share personal information as California law defines those terms, and we don’t use it for targeted advertising. You can ask what we’ve collected about you, ask us to delete it, and ask us to correct it, and we won’t treat you differently for asking. Our Site doesn’t respond to “Do Not Track” browser signals, but we honor Global Privacy Control signals as an opt-out where the law requires it.
Children. The Site is meant for adults, and we don’t knowingly collect personal information from anyone under 18. If you think a child has given us information, contact us and we’ll delete it.
Changes to this policy
We may update this policy from time to time and will post the new version here with a new “Last updated” date. If a change materially affects how we use Members’ information, we’ll also email Members before it takes effect.
